Badge Layout Best Practices
Follow these guidelines to create badges that are readable from 3 feet away and look professional.
Name First, Everything Else Second
The attendee's name should be the largest element on the badge. If your event logo is bigger than the name, your priorities are backwards. People already know what event they are at.
The 3-Foot Rule
Print a test badge and hang it on a lanyard. Step back 3 feet (1 meter). If you cannot read the name comfortably, increase the font size and remove something else to make room.
Test with Long Names
Design for 'Dr. Sivasubramanian Chandrasekaran', not 'Amy Li.' If the longest name in your registration list overflows the badge, adjust the template before the event.
Color Code Attendee Types
Use a colored stripe, lanyard, or background to differentiate speakers, sponsors, staff, and general attendees. Even a simple 2-color system makes a meaningful difference.
Always Include a QR Code
A QR code enables session check-in, lead capture for sponsors, and digital contact exchange. Place it in a consistent location (bottom-right works well) at 20mm minimum size.
Print Both Sides
Badges flip constantly on lanyards. Print the name on both sides, or use the back for event info (Wi-Fi, venue map, emergency contacts). A blank back is wasted real estate.
Frequently asked questions
The most common conference badge size is 4" x 3" (102 x 76mm) in landscape orientation. This size fits standard badge holders, works with most thermal printers (like the Zebra ZD621), and provides enough space for the attendee's name, company, title, and a QR code.
Tradeshows typically use larger 4" x 6" (102 x 152mm) badges in portrait orientation. The extra space accommodates sponsor logos, session schedules, and larger QR codes for lead capture scanning at exhibitor booths.
For a standard 4" x 3" badge, use 28-36pt for the attendee's name, 16-20pt for the company, and 12-14pt for the title. The name should be readable from 3 feet (1 meter) away during a standing conversation. Smaller badge formats require proportionally smaller fonts.
Use thermal printers (like Zebra ZD621) for on-demand printing at check-in — they are fast, reliable, and eliminate waste from no-shows. Use inkjet or laser printers for pre-printed full-color badges when you need photos, gradients, or sponsor branding. Many events use a hybrid approach: thermal for general attendees, pre-printed color for VIPs.
Yes. You can print full-color badges on card stock or label sheets using any inkjet or laser printer. Use perforated badge sheet products (like Avery 5392 or 5395) for easy separation. The trade-off is speed — office printers are slower for individual badges and require pre-printing the full attendee list before the event.
Use on-demand thermal printing. When a walk-in registers at the check-in desk, their badge prints instantly from the thermal printer. With Micepad, walk-in registration and badge printing happen in one step — the attendee's info is entered on a tablet, and the badge prints within seconds.
