Badge Layout Best Practices

Follow these guidelines to create badges that are readable from 3 feet away and look professional.

Name First, Everything Else Second

The attendee's name should be the largest element on the badge. If your event logo is bigger than the name, your priorities are backwards. People already know what event they are at.

The 3-Foot Rule

Print a test badge and hang it on a lanyard. Step back 3 feet (1 meter). If you cannot read the name comfortably, increase the font size and remove something else to make room.

Test with Long Names

Design for 'Dr. Sivasubramanian Chandrasekaran', not 'Amy Li.' If the longest name in your registration list overflows the badge, adjust the template before the event.

Color Code Attendee Types

Use a colored stripe, lanyard, or background to differentiate speakers, sponsors, staff, and general attendees. Even a simple 2-color system makes a meaningful difference.

Always Include a QR Code

A QR code enables session check-in, lead capture for sponsors, and digital contact exchange. Place it in a consistent location (bottom-right works well) at 20mm minimum size.

Print Both Sides

Badges flip constantly on lanyards. Print the name on both sides, or use the back for event info (Wi-Fi, venue map, emergency contacts). A blank back is wasted real estate.
